Position: Medical Office Administrator
Location: ANCHOR health & fitness centre 443 Unit 70 The Queensway S Keswick ON
Start Date: September 2024 (Training shifts to be scheduled before September 30, 2024)
Work Schedule: 28 – 40 hours per week

Sample Schedule:

  • Monday: 1:00 pm – 7:45 pm

  • Tuesday: 8:45 am – 3:45 pm

  • Wednesday: 1:00 pm – 7:45 pm

  • Thursday: 8:45 am – 3:45 pm

  • Friday: Off

  • Saturday: 8:45 am – 1:15 pm (1-2 Saturdays per month)

Schedule is subject to change

Remuneration:

  • $17-$24 per hour based on experience + 4% vacation pay + Access to a Health Care Spending Account

Responsibilities:
As a member of our administrative team, your responsibilities will include but are not limited to:

  • Greeting patients and clients upon arrival

  • Booking appointments and processing payments

  • Handling phone calls and email inquiries

  • Assisting clients with questions, bookings, and memberships

  • Monitoring inventory and placing orders as needed

  • Managing practitioner schedules

  • Organizing group programs and other clinic/gym needs in Jane and PushPress software

  • Assisting with the setup of new staff and practitioners via Telus Health, Provider Connect, Jane App, etc.

  • Submitting insurance payments and claims

  • Overseeing daily operations of the front desk and the clinic

  • Creating graphics in Canva as needed and posting on social media during work hours

  • Maintaining confidentiality of patient information

  • Ensuring cleanliness and sanitization of the clinic's common areas (walkways, washrooms, waiting area)

  • Performing additional reasonable duties as assigned by the office manager and ownership team

Qualifications:

  • Proficiency in Jane software is an asset

  • Strong organizational and multitasking abilities

  • Excellent communication skills

  • Experience with social media management and basic graphic design (Canva) is a plus

  • Commitment to maintaining confidentiality and providing high-quality patient care

Terms and Conditions:
Applicants must be available to work 2 days and 2-3 evenings per week, including 1-2 weekends per month. The schedule provided is a sample and may be adjusted based on clinic needs.
